SUMMARY

The HR Assistant provides general support to other HR team members related to benefits, hiring, disability management and other key HR areas.  The HR Assistant’s duties include assisting with the recruitment and onboarding process, maintaining accurate employee records and managing external communications for the HR Department.  In a supporting role, the HR Assistant often interacts with employees and directs them to the appropriate resources to resolve their HR questions.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Administrative duties, such as maintaining employee databases and filing essential HR documents.
  • Maintaining compliant and accurate personnel records.
  • Assisting the HR Director with tasks such as coordinating management and employee trainings, benefit administration, disability management, staff engagement activities, etc.
  • Submitting online job postings, shortlisting candidates, scheduling interviews.
  • Coordinating orientation and training for new employees.
  • Serving as a point of contact, providing smooth communication and timely resolution to employees and interested third parties.
  • Dispose of outdated records properly.
  • Contact employees to update key documents.
  • Ensuring compliance with employment and labor laws.
  • Attend HR training as required.
  • Onboarding and offboarding.
  • Proficient at HR database systems and common HR applications.

QUALIFICATIONS AND CERTIFICATIONS

  • Solid familiarity with HR database systems and common HR applications.
  • Understanding of employment laws and regulations as well as industry-specific regulations.
  • Bachelor’s degree in Human Resources Management or a related field is preferred.
  • Strong written and verbal communication skills.
  • Ability to prioritize and resolve employees’ questions.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is essential.
  • Effective organizational and time management skills.
  • Strong interpersonal skills.
  • Discretion and ability to maintain confidentiality.

 

PHYSICAL DEMANDS/WORKING CONDITIONS

Requires prolonged sitting, some bending, stooping, and stretching. Requires ability to regularly lift up to 25 pounds. Requires eye-hand coordination and manual dexterity sufficient to operate a keyboard, photocopier, telephone, calculator, and other office equipment. Work is performed in an office environment.
